As we expand our event portfolio, we are seeking a highly organized and dynamic Events Coordinator with a passion for planning and executing exceptional events. With a proactive and solution-focused mindset, you thrive in fast-paced environments and are comfortable managing multiple tasks simultaneously. Your strong communication and interpersonal skills allow you to build strong relationships with vendors, speakers, and attendees.

Key Responsibilities:

Event Planning and Coordination

  • Collaborate with the Events Manager to define event objectives, budgets, and timelines.
  • Coordinate all aspects of event logistics, including venue selection, catering, equipment, and décor.
  • Support the Events Manager with the planning and delivery of the biennial congress & exhibition.
  • Assist in the planning and execution of smaller events and virtual meetings throughout the year.
  • Ability to travel to FEMS events and the biennial congress & exhibition.

Communication and Collaboration

  • Serve as the primary point of contact for suppliers and attendees.
  • Communicate event requirements and expectations clearly with internal teams and external partners.
  • Work closely with the marketing team to promote events through social media, email campaigns, and other channels.

Onsite Event Management

  • Oversee event setup, execution, and teardown to ensure smooth operations.
  • Troubleshoot issues in real-time and provide solutions to maintain event quality.
  • Ensure all health, safety, and accessibility standards are met.

Required Skills and Experience:

  • Strong time-management skills and the ability to meet deadlines.
  • Native or very highly skilled English speaker with excellent written and verbal communication skills.

Qualifications and Skills

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field, or equivalent experience.
  • A valid work permit and already living in The Netherlands.
  • 2-4 years of proven experience in event planning or coordination. Experience working for an association or member-based society is a bonus.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Proficiency with Microsoft Office software (Excel, Word, PowerPoint, Outlook).
