About You:
As FEMS’ Events Assistant, you are our go-to person for getting things done. You are passionate about international events and helping to make them a success, no matter the size. You are keen to gain experience in the non-profit sector and get your career off the ground in a growing organization.
You love being part of all facets of the events management experience and making sure that nothing falls through the cracks. You support the planning and delivery of the events, keeping the attendee in mind at all times. You are comfortable learning new skills, growing your professional aptitude, and getting to grips with new software and systems on the job.
You thrive in international environments, and are able to understand and adapt to cultural differences among colleagues, partners, attendees, and stakeholders. With a keen eye for detail, and a hands-on problem-solving attitude, your role will support a small but enthusiastic team delivering events across Europe.
About FEMS:
The Federation of European Microbiological Societies (FEMS) is a dynamic, mission-driven, not-for-profit organization dedicated to advancing microbiology for the benefit of society. With a growing coalition of 55 Member Societies from 40 countries, FEMS plays a vital role in fostering scientific excellence, supporting the microbiology community, and promoting knowledge dissemination in areas like health, energy, food, materials, ecology, and the environment. As we continue to expand our reach and impact, we are seeking a talented and driven Events Assistant to join our team.
Our current focus is preparing for the FEMS MICRO Ljubljana 2027: Congress & Exhibition taking place 5-8 July 2027. This scientific conference will bring together around 2,000 microbiologists, innovators, and policy-makers from across Europe and beyond for 4 days in Slovenia. Under the theme Growing microbial futures, the Congress & Exhibition looks ahead to what comes next in microbiology, from turning ideas into impact to building partnerships, supporting careers, and creating opportunities that strengthen both the field, the people, and the organizations driving it forward.
We are looking for a detail-oriented and proactive Events Assistant to support the planning and delivery of our events. This role focuses on attendee communication, registration management, logistics coordination, and onsite event support. You will be reporting to the Events Manager and working with a wider team of full-time staff, freelancers, event partners and stakeholders.
Key Responsibilities:
- Assist with the administration of the event registration system and maintain accurate attendee records
- Prepare and send event attendee communications such as confirmations, reminders, and visa support letters and respond to enquiries
- Work closely with colleagues across Events, Finance and Marketing & Communications, and other teams to support the successful planning and delivery of events
- Support travel, accommodation, and transportation arrangements for speakers, staff, and Board members
- Assist with event logistics, including supplier coordination and other operational requirements
- Provide onsite event support for FEMS MICRO 2027, including attendee check-in, registration desk assistance, room management, and contributing to the smooth day-to-day running of the event
Essential Requirements:
- This is an entry-level position; a degree in events management or relevant work experience are desirable
- Excellent fluency in written and spoken English
- Clear and professional communication style
- A valid work permit and living in the Netherlands
- A collaborative team player with an interest in working in a mission-led organization
- Proficient in the use of Microsoft Office software (Excel, Word, PowerPoint, Outlook)

- Experience with event coordination and delivery is highly desirable.
- An interest in scientific events is a plus.
What We Offer You:

- Salary: a starting gross full-time salary of EUR 3.350 – 3.650 per month, depending on work experience and education (full time is 36-hours a week)
- Duration: an initial contract for 12 months from the commencement of employment
- Hybrid working: we work at least 2 days per week at the office in The Hague
